Sophrology Sessions
I am committed to providing a safe and confidential space for the people with whom I work, either on a one-to-one basis or in groups, in person or online or via telephone for the initial consultation.
The Terms and Conditions outline what I will aim to provide and what you, as the client, will be committing to do to gain autonomy in your practice of Sophrology.
Sophrology should never be used in place of orthodox medical care or medication. Always consult your doctor for medical care and diagnosis. Always advise your doctor or other healthcare professional (i.e. midwife or consultant) if you are receiving complementary therapy healthcare such as Sophrology.
Session Duration and Fees
Once you agree to work with me, our sessions will take an hour and cost £90 per session (plus traveling cost if I come to you). Fees may occasionally rise by a small amount, for which I will give at least one month’s notice. For group sessions, fees will depend on the format and set up of the programme I design for the institution or group.
Session Payment
For one-to-one sessions payment must be made 24 hours before the commencement of the session unless otherwise agreed, and once a date and time are confirmed a contract will be in force.
For group sessions (workshops, courses, etc.) payment must be made in full 1 week prior to the start of the first group session.
For organisations all sessions booked and confirmed by the client must be paid prior to the training course taking place unless otherwise agreed in writing.
You warrant that all details provided to me for the purpose of the service will be correct.
Payment can be made by BACS transaction. Receipts/Invoices are available on request.
Cancellation Policy
24 hours’ notice is required to cancel your Sophrology session without incurring a charge. If your appointment is on a Monday, please cancel on Friday. If less than 24 hours’ notice is provided, you will be charged the full cost of your session to cover incurred costs.
Non-attendance
If you fail to attend a session without any notice full payment for that session will be required before booking any further sessions. If I am unable to make a session, I will give you as much notice as possible and you will not be charged. I will endeavour to make up that appointment at another time in the same week.

Privacy Policy

Confidentiality
Your session and personal information are kept securely. Information but not names will be shared with my supervisor who is also a qualified Sophrologist and who regularly reviews my practice. Confidentiality will be broken if I have concerns that you or anyone else is at risk. If this occurs it will be discussed in the session and recommendations will be discussed and documented in your notes.
As a holder of an ISF (International Sophrology Federation) accredited qualification in Sophrology, I adhere to their Code of Ethics and Professional Conduct to ensure that you receive a professional and quality service.
Information we collect about you and how we use it
Upon starting our sessions, basic personal information will be collected for contact and identification reasons. During our Sophrology sessions, an anamnesis will be completed, and notes will be taken during sessions. These will include personal and sensitive details about your life. The assessment and notes are used solely for the delivery of Sophrology for you.
I will maintain confidentiality in line with the Privacy Notice outlined in this document, as well as during our sessions. As an ISF accredited Sophrologist, I operate under a strict code of confidentiality.

Privacy Notice and Data Protection
I will hold your data in line with the General Data Protection Regulation (GDPR). Your personal information is anonymised and kept separately from the notes I will keep. All information is held in a confidential and secure place, either in a locked filing cabinet or a password-protected hard-drive. You have the right to see any information I hold on you at any time, and I must make these available to you, free of charge, within 30 days. You may also ask for information that you believe to be incorrect to be rectified, and in certain circumstances, the erasure of certain personal data, the right to restrict processing, and object to processing. If you believe that any data I hold is inaccurate, if we are in agreement, the data will be altered. If there is reason for disagreement, I will record your objection and reason for disagreement. If I become aware of a situation where your personal information may have been accidentally or maliciously obtained by a third party, I will notify you within three days. When you have finished your Sophrology sessions with me, I will keep data securely for a period of 7 years, in order to protect my legal position in the event of any legal proceedings. After that time, they will, be destroyed securely.

Working online
Please note that working online via Zoom, Google Meet or another online platform is not 100% guaranteed to be secure and confidential, but I will ensure all the necessary precautions are taken when setting the meeting up. Please note that I cannot be held responsible if an outside party gains access to personal or confidential information via the online platform bypassing their security measures. Technical problems may sometimes occur when using online platforms, and I will always endeavour to reconnect. If these remain persistent throughout a session, I will suggest re-scheduling. Confidentiality when working online should be treated as in a face-to-face session, whereby you must be in a private space, where you cannot be overheard and are free from distractions.
Lawful basis for processing your information
The lawful basis for my holding and using your information is in relation to the delivery of a contract to you as a health care professional. Cookies
A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added, and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.
